Downloading an Excel file with your full asset history
You can download an Excel (.xlsx format only – version 2007 onward) file to your hard drive, containing the full history of either a single asset, or all of your assets.
- Click on ‘Manage’ / ‘Transfer data’.
- You can either download a single asset’s history, or the full history of all your assets.
There are a number of reasons why this feature might prove useful at some point. These include:
- Manipulation of the data in Excel (eg, to show statistics within a report or presentation).
- Backups of your data.
- Exporting your data to use elsewhere, eg, in other software.
- To forward the file to a third party (eg, an auditor, an insurance engineer, or maybe to pass to the new owner of an asset you’ve sold).
- The multiple-asset report divides the information into inspections, repairs, service history and alert history, using multiple worksheets in Excel. These are accessed by selecting each of the tabs along the bottom of the spreadsheet. By default, it shows the data on all the pages in strict chronological order, but you can then filter and sort the spreadsheet to your own ends, using the “data” / “sort & filter” options in Excel.
- The single-asset report shows all that asset’s history on a single worksheet (ie, only one tab). Again, this is presented in chronological order by default, but can easily be sorted in other ways if you like.
Seeing all the information for an asset, on-screen
Do you simply want to quickly view a single asset’s details on-screen, rather than go through the palaver of downloading a file onto your computer? If so, then simply click on the name of the asset, wherever you see it appearing as a blue “link”. This takes you to the ‘asset details’ page. There you can view almost everything to do with an asset – its full history, all its current alerts, etc. You can print this if you like, and you can also raise various actions from here (eg, log an alert, a service, etc).
